OFFICE AND EDUCATION SUPERVISOR



Maternity Cover –Start date 8 August 2016.

Initially 4 Days pw (Possibility of Full Time from January 2017)



Shakespeare at the Tobacco Factory (stf) is an independent theatre company and charity, now 17 years old. We co-produce our annual 3 month spring season with Tobacco Factory Theatres as well as working in partnership with other venues and establishments in Bristol and beyond. We have been touring nationally and internationally, since 2013.



The Company is looking for a personable and experienced Office and Education Supervisor to work with us to offer administrative expertise, providing support to the Producer and Artistic Director.



OFFICE AND EDUCATION SUPERVISOR –



Purpose

• To support the Producer in the delivery of day to day administration , fundraising, education provision, budgeting and reporting requirements

• Ensure best practice is adhered to in all aspects of the role

• Offer expertise, advice and input on all matters relating to the role.



Administration



- Responsible for all day-to-day administration, including - post, stationery, telephone enquiries, contracts, printing, mail-outs, invitations, booking rooms and rehearsal space etc.

- Assist the Producer in all aspects of the role as required

- Diary management of Board of Directors’ meetings and circulation of relevant paperwork; taking minutes

- Marketing support including managing audience data gathering, for the Bristol Season and Tour, update the website.

- Managing stf’s cherished Friendship scheme and assist in organising and attending fundraising and marketing events and parties

- Attend corporate evenings and sponsorship events during the season



Education



- Organise and promote the seasonal workshops, liaising with the Workshop Director

- Manage all school and university workshop provision in liaison with the Workshop Director

- Ensure all records and DBS compliance (etc) are up to date

Finance

- Ensure the smooth running of day-to-day office finances and budget maintenance using SAGE, Microsoft Excel and hard copy filing

- Maintain the office administration budget, the education budget and assist with the production budget

- Assist in the preparation of the year-end accounts by the Company’s auditors

- Maintain the Company Register and undertake any other duties as required



General

- Attend quarterly meetings where appropriate

- Comply with all stf policies including Health & Safety, Equality & Diversity

- Undertake duties as reasonably required

Person Specification:

Essential

• At least three years’ previous administrative experience

• Budget management experience

• Experience of SAGE Accounting and Excel

• Numeracy and literacy skills

• Previous knowledge of contracting

Desirable

• Experience of working in the charitable sector

• Knowledge of theatre and the arts administration

• Understanding of governance and board

• Understanding of VAT

• Experience of Education provision

• Knowledge of Marketing and Fundraising

• Passion for theatre and the arts





Hours: Initially 4 days per week (possibility of Full Time from January 2017)

Maternity cover end date 19 June 2017.



Salary: £21.000 pro-rata 4 days per week
